Installing an eSIM means downloading a profile from the provider's server into the chip inside your phone. Nothing is inserted, and no app is involved. Once you hold on to the idea that it is a download, most of the rest explains itself: why you need internet to install, why the code works once, and why a profile that has already downloaded does not move between handsets easily.

What follows is the sequence that fits most handsets, with a note wherever manufacturers diverge. Android menu paths differ considerably between makers and shift between OS versions, so the wording below describes what to look for rather than naming a fixed menu that would be wrong on some phones no matter what.

Installing and activating are two different things

Installing puts the profile on the phone: it happens once and requires internet. Activating is letting that profile attach to a live network at the destination, and for many plans it is the moment the validity begins counting. The two can happen at different times, and they should.

Confusing them causes the two most common failures. One: leaving the install until arrival and discovering there is no connection with which to download it. Two: installing and then leaving the profile's data roaming on, so the validity clock starts before departure or during a stopover.

What you need before you start

Gather these four before touching anything. If one is missing, fix that first: stalling partway through an install is a great deal harder to recover from than preparing properly.

Installing by scanning the QR code

This is the easiest route when you have a second screen — the QR open on a computer, scanned with the phone that will hold the profile. The sequence below is written generically for both iPhone and Android; the exact menu wording varies with the maker and the OS version.

Installing without a QR code

Every profile also ships with details you can type: an SM-DP+ address and an activation code. You need this when the order page is open on the very phone you are installing to, since there is no second screen to scan. It also rescues you when the camera plays up or a printed QR is too blurred to read.

On an iPhone

Inside the add-eSIM flow there is an option to enter the details by hand instead of scanning. Choose it, put the SM-DP+ address in the server field and the activation code in the code field. Some providers also supply a confirmation code; if you were not given one, leave that blank. The option's position moves between OS versions — if it is not visible at the top, scroll to the bottom of the screen.

On Android

The idea is the same, but the labels differ sharply between makers. Usually, once you are on the scan screen there is a small link along the lines of need help or enter code manually; tap that and type in the address and the code. Some brands put it at the bottom of the scanner, others behind a three-dot menu. If you cannot find it, use the settings search box most phones have and search for eSIM.

Why the menu path is different on every phone

Every manufacturer designs its own settings app and rewords it at will with each OS update. Instructions that name an exact menu therefore go stale quickly and are wrong somewhere no matter when they were written. The durable approach is to remember what you are looking for: the section about SIMs or networks, and within it a phrase meaning add a line by download.

When it truly will not surface, use the search field in the settings app that most phones now have: type eSIM, or SIM, and look at the results. That sidesteps the whole question of menu structure, and it is usually quicker than tapping through page by page.

Why installing needs a connection

Because the profile is not inside the QR code. The code is a signpost carrying a server address and a token; the phone has to reach that server to pull the real profile down. That is why scanning and typing the details need a connection alike — there is no offline route.

Wi-Fi or your own home SIM's data both work. If you must install abroad with nothing yet connected, airport, hotel or café Wi-Fi will do — but keep that as the last resort, because an install over an unstable public network can fail partway, and some codes allow only a limited number of attempts.

One-time codes, and what deleting the profile costs

As a rule the activation code installs once. After the profile downloads, the same code will not install on another handset. That is not a seller's inconvenience but the mechanism that stops one plan being used on several phones at the same time.

So deleting a profile is hard to undo. Some providers can reissue; some cannot, because the profile is already bound to a device. For plans we sell, contact us with the order number: we check with the supplier and tell you honestly whether a reissue is possible, before you decide to buy again.

One profile, one device

A profile serves one handset. Two people travelling together need two profiles, or one phone sharing by hotspot — after checking that the plan permits sharing, which not all do and which the plan page states.

The follow-up question is usually whether the profile can move to a new phone mid-trip. That depends on the upstream provider and on both handsets: some phones have a transfer function, some cases need the provider to reissue, and some cannot be done at all. If you know a device change is coming, ask before buying rather than after installing.

Naming profiles and switching lines without mistakes

Once several profiles live on a phone, the default names blur together to anyone in a hurry. Rename each one at the moment it installs, with the country and the month, and you will never have to guess which line still has data on it.

Switching happens in the cellular settings, where the data line and the line for calls and messages are chosen separately. The setup most travellers want is the eSIM carrying data, the home SIM still taking calls, and the home SIM's data roaming off for the entire trip.

The installation window after purchase

Most plans set a period after purchase within which the profile must be installed and started. The plan page states it, and it matters more than people assume: past that point the profile can expire even though it never connected once. Buying months ahead because the price looked good therefore carries a risk worth weighing.

The safe practice is to buy reasonably close to departure and install as soon as it arrives, leaving that profile's data roaming off. That keeps you comfortably inside the window without starting the validity clock at the same time.

The post-install checklist

Spend two minutes on this straight after installing, while you are still at home and everything is easy to change. Each line takes seconds now and becomes a problem in an arrivals hall.

• The profile appears in the phone's list of lines
• It is renamed with the country and month
• Data roaming on the travel profile is still off
• Data roaming on the home SIM is switched off
• Automatic data switching is off, where the phone offers it
• SM-DP+ address, activation code and order number saved for offline access
• The QR image is out of any shared photo library
• You know how to reach us if nothing connects on arrival
