Schengen visa documents: what to prepare and how to book the visa centre appointment
The documents the EU Visa Code asks for, plus how to book the appointment, give biometrics and collect the passport.

Quick answer
- The core Schengen visa documents are a passport with at least two blank pages, travel medical insurance covering emergency care and repatriation, and proof of purpose, accommodation, funds and intention to leave.
- Each embassy decides its own applications and may ask for more documents, so use the checklist of your main destination's embassy or official visa centre.
- You can apply up to 6 months and at least 15 days before travel, and a decision normally comes within 15 calendar days, extendable to 45.
Thai applicants for a Schengen visa need a valid passport with blank pages, travel medical insurance, proof of the trip's purpose, accommodation and funds, and evidence of intent to leave, plus the form, photo and fingerprints taken at the visa centre. The embassy of your main destination sets the exact list, so treat this guide as a map, not a replacement.

Which documents does a Schengen visa application need?
Article 14 of the EU Visa Code groups supporting documents under four headings: the purpose of the trip, accommodation, enough money to cover the stay, and the intention to leave before the visa expires. Which papers count as proof is up to each embassy.
| Area | Typical examples | Note |
|---|---|---|
| Form and photo | Online or paper form as the embassy requires; photo to the centre's specification | Check the photo spec in the centre's checklist |
| Purpose | Itinerary, flight booking or invitation letter | Must match your main destination |
| Accommodation | Hotel or lodging bookings covering the nights you stay | Check cancellation terms before booking |
| Funds | Bank statements and proof of income | Minimum amounts come from the embassy; none is given here |
| Insurance | Travel medical policy valid across the Schengen area | Covers emergency care, hospital stays and repatriation |

What does your passport have to meet?
The European Commission says the passport must be valid for at least 3 months after the date you plan to leave the Schengen area. Article 12 of the Visa Code adds that it needs at least two blank pages and must have been issued within the previous 10 years.
- For a multiple-entry visa, count the 3 months from leaving the last Schengen country on that trip.
- If an older passport holds earlier visas, ask the centre whether to bring it.
- Make sure the name and spelling match every flight and lodging booking.

What must Schengen travel insurance cover?
The European Commission says the insurance must cover emergency medical care, hospital treatment and repatriation, including repatriation in case of death. Article 15 of the Visa Code sets a minimum coverage amount, which is not printed here; take the current figure from the embassy or visa centre.
Before you buy a policy, compare its cover dates with your real travel dates both ways, and keep the policy as a printout and as a file on your phone.

Where and how do you book the appointment?
Most applicants who live in Thailand submit through the visa centre their embassy designates and book the slot on that centre's site. The embassies checked for this guide name these routes.
| Country | Where to submit | Notes |
|---|---|---|
| Germany | VFS Global in Bangkok, Phuket, Chiang Mai | Up to 6 months ahead |
| Italy | VFS Global (Thailand) in Bangkok, Phuket, Chiang Mai | Appointments via VFS; long-stay type D at the embassy |
| Switzerland | VFS Global or the Regional Consular Centre Bangkok | Online form first, then the mandatory VFS appointment |
| Netherlands | VFS Global Bangkok | From 6 months to at least 15 days before |
| France | Visa centre after the France-Visas online form | Find the centre operator on the French Embassy site |
For Spain, Portugal, Belgium, Greece, Austria, Finland and Czechia, check the embassy website of your main destination to see which visa centre it uses.
What happens at the centre: biometrics and passport collection?
The European Commission says fingerprints are taken when you apply. Article 13(3) of the Visa Code lets the consulate reuse fingerprints already held in the Visa Information System (VIS) if they were taken less than 59 months earlier.
- 1Arrive for your slotBring the original passport, the printed appointment and the full document set in the checklist order.
- 2Document check and fingerprintsStaff check the papers and scan fingerprints; missing documents may mean coming back.
- 3Track and collectFollow the centre's tracking and collection instructions, and check the name, dates and number of days on the visa as soon as you receive it.
When should you apply and how long does it take?
Article 9 of the Visa Code says to apply no more than 6 months before the trip and, as a rule, no later than 15 calendar days before it. Article 23 says the decision comes within 15 calendar days of a complete application, extendable to 45 in individual cases.
Why does a working phone and internet matter during the application?
Nearly every step of a Schengen application starts online: the form, the appointment booking and the status tracking, and confirmation codes or emails often land on your phone.
- Keep the appointment slip, lodging bookings and insurance policy as phone files to back up the printouts.
- You need to receive centre codes and emails at any moment, which matters most when you are abroad.
- Once in Europe, an eSIM lets you open these files and maps straight away without waiting for Wi-Fi.
