Should everyone get the same allowance, or should we size by role?+
Size by role in almost every case, because an identical allowance means buying for the heaviest user and paying that for everyone. On an event crew the gap between the upload team and the floor team is wide enough to show clearly in the total. Three or four groups by type of work, estimated separately, is enough detail; you do not need to go person by person.
How many spare profiles should we hold?+
We will not give a fixed number, because it depends on the size of the crew and the nature of the job. The principle is to cover the two cases that always occur: a last-minute replacement, and a device that either fails to install or is damaged during the event. Crews with frequent changes, or working where handsets get broken, should hold more than stable ones.
Can we move a profile from someone who dropped out to their replacement?+
Usually not, because a profile installed on one device is generally tied to it. The exact terms differ by supplier and by whether installation has already happened — an uninstalled profile is far more likely to be reassignable. That is why we recommend a separate pool of spares rather than a plan that depends on transfers. If you need certainty, ask before ordering.
Is venue Wi-Fi enough for a crew?+
Do not assume it is until you have tested it yourself. Many venues provide Wi-Fi designed for general attendees rather than for large file transfers or broadcast, and on a day with thousands of people both the Wi-Fi and the local mobile network congest at the same time. Treat venue Wi-Fi as one option rather than the plan, and confirm the details with the organisers in writing beforehand.
Should the crew keep their personal numbers active?+
Usually yes, because many people receive verification codes on their existing number and need to stay contactable at home. The common arrangement is two active lines: the personal number for calls and messages, the travel plan for data. What must be emphasised is setting the travel line as the data line and switching data roaming off on the personal one. Menu names vary by manufacturer, so look for what the setting does.
What should someone do if they hit a problem during the event?+
Give the crew a first step they can do themselves: toggle airplane mode, confirm the correct line is set for data, and confirm the plan is activated. If that does not resolve it, have the team lead contact us rather than everyone reaching out separately, because the lead already holds the sheet mapping names to order references.
